Maintain It Hub
Privacy Policy
Effective date: 12 August 2026
Maintain It Hub is operated by Maintain It Building Maintenance Enterprise, registration K2024724665, based in Oudtshoorn, Western Cape, South Africa.
Information handled by the app
The app stores information entered by a business owner or authorised worker. This includes customer and worker names, contact details, site addresses, projects, jobs, schedules, quotes, invoices, recorded payments, expenses, receipts, attendance times, payroll rates, stock, site notes, measurements, photos, voice notes, signatures and locations recorded during an attendance or job action.
The app also stores device identifiers, connection settings and sync status required to link authorised devices and protect business records.
How information is used
Information supports job planning, attendance, payroll calculations, site evidence, quoting, invoicing, cost control, client updates, cloud sync, backup and recovery. Maintain It Hub does not sell personal information. It does not use personal information for advertising.
Storage and transfer
Business records stay in private app storage on the phone. When Owner Hub connects to Supabase, selected operational records and backups travel over encrypted HTTPS connections to the connected Supabase project. Cloud access tokens stay in Android encrypted credential storage. Cloud functions restrict access to the linked business and authorised device.
QuickBooks and ServCraft items remain in a local preparation queue in this release. They do not leave the phone unless a later integration is connected and approved.
Permissions
- NFC reads linked attendance or vehicle tags.
- Location records the position of an attendance or job action.
- Camera access captures site and receipt photos.
- Microphone access supports voice notes and voice typing.
- File selection imports business records and restores a backup chosen by the user.
The app requests a permission from the related action. Refusing permission disables the related function.
Service providers and external apps
Supabase processes connected cloud data to provide storage, sync and recovery. A map view loads OpenStreetMap map tiles. Navigation and WhatsApp open in external apps only after the user selects those actions. The receiving service then applies its own privacy terms.
Information is disclosed when required by law or needed to protect legal rights.
Retention
Local records remain until the user deletes them or removes the app. The cloud backup system keeps the latest three successful backups. Operational cloud records remain until the owner deletes the connected business data, subject to tax, employment and other lawful retention duties.
Deletion and correction
The owner opens Settings & Privacy to disconnect a phone, delete local phone data or permanently delete the connected business cloud data. Cloud deletion covers linked employees, devices, vehicles, assignments, attendance events and backups.
For access, correction or deletion without the app, follow the steps on the Maintain It Hub Data Deletion page or email maintainit.brand@gmail.com.
Security
The app uses Android app isolation, encrypted credential storage, HTTPS transport, access-controlled cloud functions, adaptive PIN hashing, temporary employee activation codes and login-attempt limits. Business owners remain responsible for device locks, owner PINs, upload signing keys and exported files.
Children
Maintain It Hub is a business tool for adults. It is not directed to children.
South African privacy rights
South African users hold rights under the Protection of Personal Information Act. Maintain It verifies identity and authority before releasing, correcting or deleting business, customer or employee records. Send privacy requests to maintainit.brand@gmail.com.
